Executive Assistant

The Center for Breakthrough Medicines (CBM) is searching for a very proactive and extremely detail-oriented Executive Assistant with excellent interpersonal skills, strong speaking and writing skills, and a very strong work ethic. This position reports directly to the Manager, Administrative Services and is responsible for all business-related duties of the Founder / CBO and CEO. This position will primarily provide comprehensive assistance to two (2) CBM executives so they may focus on their primary responsibilities and maximize their time and effectiveness. Basic Responsibilities:

·Assist the executives in the timely management of communications and ensure follow up with those that require answers, responses, and written replies.

·Assist in the management and organization of the executives’ calendars by scheduling appointments, meetings, engagements, and daily activities.

·Manage and coordinate travel for business arrangements.

·Assist in screening email and visitors.

·Coordinate onsite meetings, luncheons, coffees, in-house events.

·Coordinate the hosting of in-house events.

·Greet and check-in clients and other guests for meetings and events.

·Conduct ad-hoc research.

·Draft simple spreadsheets.

·Assist member of the Administrative Services Team with projects, as may be required.

·Previous experience handling heavy calendar management, email and travel arrangements.

·Ability to resolve complex administrative problems independently and perform tasks that are diverse and advanced.

·High level of interpersonal skills to interact with coworkers and executives.

·Demonstrate highest level of ethics and ability to maintain confidentiality at all times with all situations and documentation.

·Demonstrate strong knowledge and extensive use of Microsoft Office.
